The catch

Pick this if you run a chain with 20+ locations, hotel F&B, or a retail+restaurant hybrid that needs deep enterprise reporting.

4 things to check before signing anything
Whatever POS you pick, check these four things in writing before you give them a credit card. Most operators skip them and regret it later.
1. The all-in monthly cost, not the headline price
Take the monthly subscription, add the swipe fee math (your monthly card volume × the swipe %), add hardware financing if any, add any “mandatory” add-ons like loyalty or online ordering. The number you get is what you actually pay. Toast’s “$0/month Starter” becomes ~$1,000/month real-world. Square’s “Free” tier is similar. Always do the math.
2. The contract length and termination fee
Clover and many Toast hardware-financed deals come with 2–3 year processor contracts and $300–$500 early termination fees. DineOpen is month-to-month — so are most Square, Lightspeed, and TouchBistro plans, but always confirm in writing. If they won’t put it in writing, walk away.
3. Whether you can bring your own payment processor
This is the single biggest cost lever. DineOpen lets you use Stripe, Adyen, Razorpay, or any processor — you negotiate your own rates. Square locks you to Square Payments. Clover locks you to Fiserv. Toast locks you to Toast Payments. Lightspeed sometimes lets you BYO processor on higher tiers, but charges integration fees. Locking your processor is how POS companies make money — know what you’re signing up for.
4. What happens to your menu and customer data if you cancel
Ask: “If I cancel tomorrow, can I export my menu, customers, and historical sales as CSV?” Every POS in this guide says yes when asked, but a few make it slow on purpose. Test the export during your free trial, not after you’ve been a customer for a year. Your data is yours — make sure you can take it with you.
The one trap that costs operators thousands
The trap is the swipe fee. POS companies advertise the monthly subscription because $69/mo sounds harmless. The actual cost is the 2.49–2.6% they take on every card swipe — and that cost is invisible because it’s buried in the deposit you get the next morning. Your bank doesn’t send you an invoice for it. You don’t see it on a statement labeled “POS fees.” It just becomes “the cost of taking cards.”
